Checklists

How far in advance should we reserve a date for our event?
The earlier the better, at least one year prior to your desired date. You are likely to get the exact date, space and times you desire. Keep in mind, Saturdays are the most popular days. We do not save dates without a deposit and signed contract.
Does Village Venue have a ceremony site?
The Courtyard is a perfect and beautiful place for a ceremony. It is just outside of the Ballroom.
For how long do we have use of the facilities?
Rental times will be determined on your booking.
Does Village Venue provides chairs, tables, and linens for the banquet hall?
Village Venue provides tables and banquet chairs. Specialty chairs and linens are an additional cost. Please refer to the Preferred Vendor List.
Does the Village Venue have dressing rooms?
There is an executive boardroom on the second floor that is used as a dressing room. There is a large makeup counter with mirrors, television and private restroom.
May we take engagement or bridal pictures at the Village Venue prior to our event?
Yes, the Courtyard is a perfect location for outdoor pictures.
Can we decorate how we choose?
Yes, you can decorate as you wish. We do not allow use of drones, fireworks, sparklers, glitter, confetti, rice, silly string, feathers, all other small particle decorations, unprotected candles, silk flower petals, and sand.
Are fireworks allowed?
No, we do not due to safety regulations.
Are we required to use Village Venue’s recommended caterer?
No, you are not required to use those on our preferred vendor list. If you select a different caterer we require a copy of their license and insurance 30 days prior to your event.
What kitchen amenities are available for the caterer?
The Venue offers three prep tables, a warming oven and reach-in cooler.
Who is in charge of cleanup?
You will be responsible for removing all decor and left over food upon concluding the Event. The caterers and bartenders are responsible for the cleaning of the kitchen, service area and the loading areas; and the disposal of all waste into dumpsters provided on site. The Venue will be responsible for the majority of the hall and room clean up, restroom supplies, picking up Venue owned tables and chairs, sweeping and mopping, etc. after the Event ends. The Venue reserves the right to charge an additional fee for excess clean up and/or damage at the conclusion of the event.
Are there any extra costs?
Your price includes the rental, tables, chairs and the set up and tear down. If you choose to use audio visual you will only be charged for what your use, plus a 22% service charge and sales tax, currently 8.25%. Internet is available at an additional fee. Linens are available for an additional fee.
Are there certain days of the week when the price is discounted?
Yes, we offer discounts on Thursdays, Fridays and Sundays. These are becoming very popular.
What type of payments are accepted?
All payments should be made by either a credit card, debit card or ACH transaction. Payments can be made online and are secure through a third party vendor. The Venue will accept cash or checks. A $35.00 processing fee will be assessed on all returned checks.
What is the payment schedule for reserving a date at Village Venue?
Half of the rental is due when a contract is signed. The balance is due 30 day prior to your event.
What is the cancellation policy?
Written notice must be given. All deposits/payments are non-fundable.
Can alcohol be served at Village Venue?
The Venue does not carry a liquor license. If you choose to serve alcohol, you are required to use TABC certified servers, comply with all applicable laws and regulations, and provide Security. A copy of the TABC license is required 30 days prior to the event. Alcohol may not be brought into the venue by a guest.
Are there wireless internet connections in each meeting room?
Yes, both wired and wireless internet is available in each meeting room.
Are high speed internet lines charged at a flat rate per day or per IP address?
High speed internet is available throughout the building.
How many IP addresses can you handle?
The Village Venue can handle five static IP addresses.
Where will my guests park?
Your guests may park anywhere in the Village. Referred back to the Parking section on The Venue page for parking information and map.
Is there a fee for package/box/pallet acceptance?
Village Venue has limited storage and can accept packages 3 days prior to the event. There is a $10 charge per package received. For deliveries over 250 pounds (pallets) the charge is $250.
Does Village Venue have overnight accommodations?
No, but the Homewood Suites by Hilton is just next door to the Village Venue. There are several hotels within 3 miles of the Village Venue.
Are pets allowed?
Pets are not allowed. However, service dogs are the exception.
Are we required to have a Coordinator for our wedding?
A Wedding Coordinator is not required however we do prefer you to have one. Please see our Preferred Vendors list. A professional coordinator is able to assist you with all personal items, décor, vendor arrangements and coordination of all events associated with your wedding.
